Changing Lot Info on Existing Lots

1. When you first enter Lot Info a Select An Item Info Type Standards window will appear and display a list of the item info types that have been defined in the system. Select the item info type that you wish to view, change, or enter the standard item info lot attributes for.

2. An Item Groups for ("name of item info type") Item Info F10 window will appear listing all of the item groups that have been assigned to the item type selected.

3. Scroll to the desired item group and press Enter to select, or press F9 to select all groups. An asterisk (*) will appear confirming your selection. Press F10 when finished.

4. A Select An Option For ("name of the item info type" ) will appear allowing you to see and edit the item info standard configurations that are defined in the system, or choose to view actual lots, either by item or by date. To change lot info values for specific lots within the Lot Info option select Lot Info - by Item or Lot Info - by Date. Both options work in a similar fashion; it is only the sort order that is different.

• Lot Info – by Item – If you select Lot Info - by Item, a Select An Item - ("name of the item info type") Item Info Standard window will display a list of the items, sorted by item, that are assigned to that item info type. To see lots that are assigned to a certain item, select that item from the list.
  • If the item selected is a lotted item the following message will appear: "Display zero balance lots? No/Yes. Select no if you do not want to display lots with a zero balance; select yes if you want to display lots with a zero balance. A list of all corresponding lots will appear, showing the.
    • item name
    • lot number
    • date opened/received
    • vendor the lot was purchased from, if applicable
    • COOL identity, if the item is loose or strict COOL
    • Item info lot attributes for that lot, based on the sort order and fields defined for the item info type selected.
  • Command options will appear; select Change.

 

• Lot Info - by Date – If you select Lot Info - by Date, a Date field will appear in which you can enter a lot opening date (or accept the default of today's date).
  • Enter the lot opening or received date or press Enter to accept the system default, today's date.
  • Below the Date field, the Lotted field will appear allowing you to specify whether to display lotted or unlotted items. Enter Y (Y=yes) to display lotted items; enter N (N=no) to display unlotted items. If you select lotted Items, you will be asked if you wish to also display any lots that have a zero balance.
  • A window will display a list of the items, sorted by date, that are assigned to that Item Info type. To see lots that are assigned to a certain item, select that item from the list. A list of all corresponding lots will appear, showing the...
    • item
    • date opened
    • vendor the lot was purchased from, if applicable
    • COOL identity, if the item is loose or strict COOL
    • Item info lot attributes for that lot, based on the sort order and fields defined for the item info type selected.
  • Command options will appear; select Change.
    
    
 

5. The lot information for the item selected will appear. Select the lot to change by entering a Y in the field to the right of the Quantity column. This will open the item info lot attributes information for the lot selected.

6. Make the necessary changes to the lot(s) then use the Tab, Page Down, or Enter key to move through the lot info screen and return to the list of lots.

Note: As changes are made the message line “! = Changes Pending, not yet updated” will appear on the lot or lots that were changed. This will disappear once the changes are updated by selecting the Update command option.

7. Command options will appear:

• Select Change to make changes to the item info lot attributes.
• Select Update to save your changes.
• Select Exit to exit the item info standards without saving changes.

Select Update to save your changes.

Important: Your changes will not be saved unless you select Update.

Note: If Lot Info - by Date was used to select the lots, after updating the changes to the list of lots (if any), the system allows the repeat the Lot Info - by Date option to be repeated by entering Y (Y=yes) to the PICK DATE field and providing a new date and lotted vs. unlotted selection.
